How to Rent a Porta Potty for an Outdoor Event in Texas

Planning an outdoor event in Texas comes with plenty of logistics, and portable restrooms are one item that experienced coordinators take seriously. Get this right and guests barely notice the facilities. Get it wrong and restroom lines become the defining memory of your event.

This guide covers everything event planners, wedding coordinators, race directors, and community organizers need to know about renting porta potties in Texas, from how many units to order to where to place them and when to call.

Step 1: Calculate How Many Units You Need

The industry standard starting point for outdoor events in Texas is one portable toilet per 50 guests for events up to four hours. That baseline shifts depending on several factors:

Event TypeGuestsDurationRecommended Units
Community event1004 hrs2 to 3 units
Outdoor wedding150, alcohol served6 hrs5 to 6 units + 1 ADA
5K race300 runners2 to 3 hrs6 to 8 units
Music festival5008 hrs15 to 18 units
Multi-day festival1,0002 days35 to 45 units

For a more detailed breakdown of the calculation methodology, see our complete unit count guide. The short version: when in doubt, add one more unit. The cost of an extra porta potty is minimal compared to the guest experience cost of long lines.

Step 2: Choose the Right Unit Type for Your Event

Standard Portable Toilet

Appropriate for community events, road races, school functions, and outdoor gatherings where appearance is secondary to function. These units are clean and serviceable but basic. Guests at casual events have no problem with them.

Deluxe Portable Restroom

Includes a fresh-water flush, interior lighting, a handwashing sink with soap, and a larger interior. This is a middle-ground option that works well for corporate events, charity galas held outdoors, and multi-day festivals where guests will use the facilities repeatedly throughout the day.

ADA-Accessible Unit

Required by law for most permitted public events in Texas. ADA units are larger, with grab bars, a lower toilet seat, and a wider doorway. Include at least one ADA unit per event, and more if your expected attendance exceeds 200 or if your permit specifies it. Our full ADA guide covers the legal requirements.

Luxury Restroom Trailer

Climate-controlled trailers with multiple stalls, flushing toilets, running water, mirrors, and interior lighting. These are the right choice for weddings, corporate events, film productions, and any event where appearance matters. Guests using a well-appointed restroom trailer have a fundamentally different experience than guests using a standard porta potty, and at events where that distinction matters, the trailer is worth the investment.

Step 3: Plan Placement

Placement affects both guest experience and service logistics. Follow these guidelines for Texas events:

  • Place units on level, stable ground. Soft grass after rain can make units unstable. Confirm the surface conditions at your venue before confirming placement.
  • Keep units accessible to your service truck. A pump truck needs to pull close enough to connect a hose, typically within 75 to 100 feet. Do not place units in locations where a truck cannot reach.
  • Place units away from food and beverage areas, but not so far that guests feel they are being sent to a distant field. A 50 to 100 foot buffer from food service is a reasonable standard.
  • Orient door openings away from the main event space. This prevents guests walking out of the unit directly into a line of sight from the stage or dining area.
  • Group units in clusters of 2 to 5 rather than in a single long row. Clusters are easier to monitor and reduce the perception of a long wait line.
  • For large outdoor venues, distribute units in multiple locations rather than concentrating all units in one zone. This prevents bottlenecks at peak usage times.

Step 4: Plan for Servicing During the Event

For events over 8 hours or multi-day festivals, plan for at least one mid-event service. Texas heat accelerates odor development and waste decomposition in portable toilets. An unserviced unit at hour 10 of a festival is a guest complaint waiting to happen.

When you call to book your rental, ask about mid-event servicing options and confirm the service window. Our team can schedule service visits at specific times to minimize disruption to your event program.

Texas heat advisory: In Texas during summer months, portable toilets in direct sun can become uncomfortably hot inside. If possible, position units in shaded areas or areas that get afternoon shade. This is a detail that separates experienced event planners from first-timers, and guests absolutely notice the difference.

Step 5: Book Early

Texas event season runs strong from March through November. Popular weekends in spring and fall can exhaust local inventory. For any event with more than 100 guests, booking 2 to 4 weeks in advance is advisable. For larger events over 300 guests or multi-day festivals, book at least 4 to 6 weeks out.

Same-day bookings are possible at most of our Texas locations for small events, but availability is not guaranteed on weekends or during peak months.
